Purpose

The goal of this document is to graphically explain to respondents where they are in the process at any given point, from when a proposal is submitted to its approval by the JPS Board. The calendar includes pertinent scheduled meetings and outlines the work phases being completed by the Repurposing Team. Below are summaries of these phases. These summaries provide an overview to help respondents understand what to expect from each phase; they are not exhaustive.

Requests for Clarification

During this phase, team members from the Repurposing Team will collaborate to review respondent submissions for clarity and completeness. If any sections require additional information, formal communication will be issued to request this from the respondent, who is expected to provide it by the next scheduled Evaluation Committee Meeting.

Negotiation

Following the first evaluation meeting, The Estes Group will contact respondents to negotiate price and terms based on feedback from JPS and the Evaluation Committee.

Board Presentation Preparation

After reviewing respondents' final offers, the Evaluation Committee will provide feedback to JPS leadership. This feedback along with respondent submissions, will be organized and consolidated into a Board packet. The JPS Board will receive this packet as "information only" at the first monthly meeting. The Board will have two weeks to review the packet before voting on the recommendations at the second meeting of the month, as shown in the graphic.
